Responsibilities
- Embrace Playhouse Square values and programs that further Diversity, Equity, and Inclusion within the department.
- Interpret and fulfill the Artists’ contract riders, including but not limited to arranging travel and housing details, providing or arranging for Artist/Management/Production ground transportation, arranging for catered meals and coffee breaks, providing dressing room/green room hospitality, and coordinating the overall backstage experience for all guests.
- Communicate with talent agents/tour managers to advance non-Technical related backstage activities. Provide additional support connected to show rider/contract compliance with productions.
- Provide administrative support to programming department on various projects and day-to-day responsibilities as needed, including, but not limited to: distributing calendars and agendas to staff; completing quarterly reporting to music licensing entities; providing front desk support as needed; maintain and distribute Cleveland general information packets and website.
- Schedule part-time Hospitality Staff and Runners. Communicate all requirements of the day’s responsibilities.
- Coordinate cast/company members for meet & greets, VIP experiences, Q&A, and other special events, including booking entertainment for events produced and presented by Playhouse Square.
- Maintain inventory of all Hospitality supplies including food and beverage, towels, catering ware, tables, chairs, linens, and service items. Complete supply/grocery runs as needed.
- Prepare purchase agreements and payment requests and ensure that Hospitality expenses are routed to the proper events. Prepare statements of expenses with documentation for use in event settlements.
- Maintain Hospitality passenger van which includes taking for scheduled oil changes, maintenance, and making sure vehicle is clean.
- Advance all VIP/Meet & Greet details with tours/VIP companies and assist day of show with VIP events in the theaters.
- Deliver packages to the backstage area of the theaters and forward packages that are left behind after shows leave.
- Provide switchboard relief for receptionist as required.
Qualifications
- Knowledge of computer operations, including Microsoft Office programs.
- Outgoing, people-oriented person, with outstanding interpersonal skills.
- Excellent communication skills, both verbal and written.
- Self-motivated with strong organizational skills.
- Ability to maintain a teamwork approach.
- Flexibility for evening and weekend hours.
