RESPONSIBILITIES
- Coordinate logistics of internal special events including walk-throughs, scheduling, advising staff of relevant event information, event execution, event strike and generating event invoices.
- Primary point-of-contact to Driftwood Hospitality for Playhouse Square and resident company event related needs.
- Provide consistent, timely, and dependable information to other Playhouse Square departments regarding all internal special events throughout the event planning process.
- Prepare estimate of expenses, including but not limited to: union labor, venue rental, parking, production needs, and other miscellaneous expenses for internal events.
- Manage private tour logistics, including scheduling with client, confirming tour guide and billing.
- Respond to rental inquiries from referrals, phone calls, and website requests.
- Field and support requests for photography and filming within Playhouse Square.
- Complete final counts, payment and walk through closer to the event with event planner, florist, designer, caterer, host, etc. to answer questions and confirm details. Update Playhouse Square staff as needed.
- Greet and be available to event planner day of event.
- Provide relief for Front Desk as necessary.
- Attend weekly Production and Driftwood Concessions meetings.
- Assist in preparing annual budget for Special Event department.
- Provide support to Event Manager in relevant areas.
Qualifications
- Minimum of 1 year in event planning/coordination, hospitality, or related professional experience.
- Demonstrated ability to manage multiple tasks and projects.
- Self-motivated with strong organizational skills and problem-solving abilities.
- Excellent communication skills, both verbal and written.
- Outgoing, people-oriented person, with outstanding interpersonal skills and ability to build and maintain professional relationships.
- Ability to work in team environment.
- Experienced user on current PC hardware and software.
- Schedule flexibility/availability evenings and weekends.
